Privacy Policy

What We Collect

• Account info: your email address and password (passwords are handled by Firebase Authentication — we never see them). If you sign in with Google, we receive your Google account's basic profile and email.
• Profile info: artist or label name, location, bio, genres, profile photo or label logo, social media links, and any self-reported follower counts you enter.
• Content you upload: audio tracks and their metadata (title, genre, key, description), and the messages you send to labels or artists.
• Activity: submissions you make and the actions labels take on them (shortlist / accept / reject / skip), and related notifications.
• Payment info: handled by Stripe. We store your Stripe customer and subscription identifiers and plan status — we never store your full card details.
• Usage data: we use PostHog to record page views and product events (e.g. track uploaded, pool browsed, message sent), along with basic device/browser info, tied to your account ID and email.

How We Use It

• To operate, provide, and improve LabelDex
• To match tracks to labels and power the demo pool and submission features
• To process payments and manage subscriptions
• To send service-related notifications and respond to support requests
• To detect, prevent, and address abuse, fraud, or security issues

Information That Is Public

Some information you provide is shown publicly by design:

• Your artist profile page can be publicly viewable and indexed by search engines (name, photo, location, bio, genres, social links, follower counts).
• A submission track link is viewable by anyone who has the link (it is unlisted and not search-indexed) and shows your track and profile details.

Please don't enter private or sensitive information in these fields.

Third-Party Services (Processors)

We share data with these providers only to run the service:

• Google Firebase — authentication, database (Firestore), and file storage
• Stripe — payments and billing portal
• PostHog — product analytics
• Google — fonts and serving Google account profile photos

Each provider processes data under its own privacy policy.

Cookies & Analytics

We use cookies and similar local storage for two purposes: keeping you signed in (authentication) and product analytics via PostHog. We do not use third-party advertising cookies. Analytics only run after you consent via our cookie banner — you can decline, and authentication cookies (which are strictly necessary) still work either way. You can also clear or block cookies in your browser, though sign-in may stop working.

Data Retention

We keep your data while your account is active. Demo-pool submissions expire automatically. When you delete your account or content, we remove it within a reasonable period, except where we must keep certain records (for example, payment records) to comply with legal obligations.

Your Rights

You can:

• Access or correct your profile information at any time in your settings
• Request deletion of your account and associated data by emailing us — we will action deletion requests manually
• Cancel your subscription anytime through the billing portal

Depending on where you live (e.g. the EU/UK or California), you may have additional rights to access, port, or restrict processing of your data. Email us to exercise them.

Data Storage & Transfers

Your data is stored on Google Cloud / Firebase infrastructure and processed by providers located in the United States. By using LabelDex, you understand your information is processed in the U.S.

Security

We rely on industry-standard providers (Firebase, Stripe) and reasonable safeguards to protect your data. No system is perfectly secure, so we can't guarantee absolute security.

Children

LabelDex is not intended for anyone under 18. We do not knowingly collect data from minors. If we learn we have, we will delete it.

Changes

We may update this policy. If we do, we'll update the date above and notify you of material changes.
